Purpose & Scope】
- The Workforce Services Specialist is responsible for working in a fast-paced environment, ensuring high quality and consistent execution of end-to-end workforce services whilst providing a highly positive employee experience.
- The Workforce Services Specialist will play an important role as Astellas continues to grow and expand into new markets and will be responsible for the end-to-end employee life cycle in 50+ countries.
- The role will report to the Workforce Service Lead, Japan and will work closely with the People Services team, across the broader HR function and directly with the business.
- The role is a SME contributor to the continuous improvement of how Astellas provides HR services to our managers and employees.
Essential Job Responsibilities】
Key Accountabilities :
Accountable for the delivery of end-to-end employee lifecycle services, with special focus on complex HR functional case management for example Payroll; Benefits; Job Evaluation; Reward; Talent; Systems.Accountable for ensuring advice given to managers, employees and external parties is of a high quality, consistent and delivered in a customer focused way.Accountable for the timely and accurate processing of payroll, social benefit and individual income tax related calculation.Provide knowledge and expertise for projects and initiatives where Workforce Services is a stakeholder providing input on how proposed solutions may impact the Workforce Services Team.Provide suggestions, counselling, and updates in areas of Labour Laws, local regulations, policy, HR processes etc.Maintain client services procedure manuals and business process documents.Participates in testing and validation of services and system upgrading.Key Deliverables :
Delivery of Exceptional Workforce Services Provision :oEnsure the accurate and timely processing of global payrolls by working with third party vendors (in line with agreed service level agreements and internal performance measures).
oWork closely with peers and Workforce Services Team Lead – to escalate and raise risks and themes that may need to be discussed or remedied at a Leadership level.
oOwn the HR processes, relevant input and output documentation and supporting tools for the delivery of all in-scope services.
oCreate and maintain manual employee and position databases to inform the execution of Payroll by third party payroll providers and satisfy relevant reporting requirements.
oCreate and manage a manual database and relevant processes to support; mid and year end reviews, succession planning and bonus.
oLeverage policies and contracts of employment provided by Legal to develop additional documentation where required.
oEnsure that all HR and employee questions are dealt with in line with the agreed SLA’s and drive a highly positive experience for all end users.
oAdminister relevant systems – ensuring that data is recorded accurately and pay queries are resolved in a timely manner.
Drive continuous improvement and manage the impact of change on HR Service Delivery.oRepresent Workforce Services as a SME on projects which look to drive change to the ways of working in Astellas.
oInput on the impact of change on our ability to deliver HR Services.
oIdentify and promote opportunities for continuous improvement.
Ways of Working :
Build and maintain strong relationships with third parties, line managers, HR teams and employees whilst providing them with the highest level of service.Collaborate and build robust relationships with other business areas / external providers to ensure that the Workforce Services Team is proactively included in planning activities that affect service or resource requirements.Supporting role to the Workforce Services Team Lead when required, taking ownership, and working autonomously to execute tasks and activities.Provide guidance and advice to more junior members of the team.Work in partnership with the Continuous Improvement team to drive and deliver best practice at all levels.Ability to run reports out of best-in-class HR systems.Strong knowledge and competence using Microsoft Office Suite, especially Excel and PowerPointAbility to utilize excel and access to automate the checking of payroll and reporting.Qualifications】
Required>
Associate's degree in Business Administration, HR or a related field.8+ years of experience in HR operations or shared services.Strong experience in HR Operation, Payroll knowledge.Good computer skills particularly in Excel, Word and PPT.Proven ability to follow established procedures and escalate when needed.Comfortable working in a high-volume, deadline-driven environment.Good in data processing and detailed oriented.Excellent command of written & oral English.Good team spirit, communication and interpersonal skill.Preferred>
