This role will focus on :

We are looking for an organized, efficient sales support to be responsible for administrative duties and assisting the sales department in gaining and maintaining customers. The sales support will respond to customer complaints and queries and will ensure that all orders are processed in a timely and right manner.

To be a successful sales support specialist, you should have good time management and organizational skills. You should also demonstrate excellent interpersonal, communication, and customer service skills.

Tasks :

  • Support the sales staffs and ensure the sales team is on track to meet mon-end goals by processing and completing orders, managing shipment and local delivery timely to customer, controlling backlog and stock availability;
  • Provide troubleshooting assistance for customer orders, account statuses and relevant problems;
  • Review pending orders and specific customer request to ensure excellent customer service and customer experience;
  • Keep line manager informed of any issues affecting month-end goals of sales team;
  • Manage inventory and control stock level efficiently by balancing with supply and demand on one side and costs on the other;
  • Submit the scheduled and on-demand reports punctually;
  • Control data governance sufficiently and efficiently to make all necessary data available and ready to the line manager and sales staffs upon request;
  • Maintain an accessible and organized filling systems for sales and administrative professionals;
  • Handle all administrative duties;
  • Generate and process new sales leads as necessary to support sales team;
  • Arrange appoinments with customers and sales team;
  • Maintain a cheerful attitude with answering all inbound customer’s calls and addressing customer or sales team needs;
  • Answer all customer email inquiries promptly to resolve any complaint or issue while maintaining customer satisfaction;
  • Follow up with customers to make sure that they are satisfied with a particular product and service;
  • Establish active communication and engagement with all other departments to help out where necessary;
  • Collaborate effectively with the sales team;
  • Arrange travel and accommodations where necessary;
  • Expenses control;
  • Exert attention to detail;
  • Suggest sales process improvements;

To be successful in this role, you will need :

Required Qualifications and Requirements :

  • At least 1-3 years experience in sales administration, sales; experience in sales organization will be an added advantage
  • Hands on experience with ERP and CRM systems
  • Business Japanese language skills
  • Understanding of Japanese corporate culture
  • Proficiency with MS Office Suite, particularly MS Excel
  • Strong analytical and problem-solving skills
  • Accuracy and attention to detail
  • Efficient time management and Ability to work under high pressure
  • Excellent negotiation, communication and interpersonal skills
  • Ability to meet deadlines without compromising consistency in the process
  • Ability to multi-taks
  • Administrative, record-keeping and clerical skills
  • In-dept understanding of sales principles and customer service practices
  • Desired Qualification and Requirements :

  • Engineering background will be advantageous
  • Good to have conversational EN language skills
  • Import and export process knowledge
