Program Coordinator
Position Overview
The Program Coordinator will work closely with Managers, Directors, and other senior staff to provide administrative support in the development, coordination and execution of assigned programs that support and promote USJC’s mission. This position is responsible for the administrative and operational functions required to coordinate activities, manage events, and provide administrative and staff support for assigned programs, which include new and existing USJC signature, regional, and other educational programs in various areas.
This is a full-time position based in the U.S.-Japan Council Tokyo office which allows teleworking. This will be a one year contract for the first five years and renewed every year. A Japanese native and fluency in English is required. USJC does not sponsor visas for working in Japan.
Key Responsibilities
- Directly assist the Director(s) and Manager(s), and collaborate with a cross-functional team in the United States and Japan, external stakeholders and other experts to successfully implement programs.
- Manage all the logistics for onsite, virtual, and hybrid programs / events in Japan, including arranging the event venue, speakers, invitations, catering, staffing, etc.
- Maintain program records and statistical information; collect and analyze data producing accurate reports from datasets and surveys; evaluate and make recommendations to strengthen programs.
- Write program reports, summaries, and newsletters articles in a timely manner.
- Utilize technology as needed to support program coordination.
- Serve as a principal liaison between contract staff, implementing partners and / or external constituencies on day-to-day programmatic issues.
- Assist with other administrative and office responsibilities as needed.
