Manager, Office Operations

The opportunity

Are you ready to make your mark as part of the Office Operations Manager in our Tokyo office?

Our Office Operations team is at the heart of ensuring the smooth and efficient functioning of the Firm’s day-to-day operations. Our team manages the infrastructure, systems and services —both globally and locally—relating to our office workplaces, onsite and remote operational services, security, safety and a range of other areas.

We provide PA support and manage document production, translation and travel services. Our team is responsible for our client-facing areas across the Firm, always seeking to ensure that clients and other visitors have an experience that is world-class. We also take the lead in running our day-to-day operations in the most environmentally sustainable way possible.

Key responsibilities

  • Office Management : Overseeing local office premises, including lease management, space planning, office relocations, and refurbishments.
  • Compliance : Ensuring adherence to global office move guidelines, real estate decisions, and sustainable operations guidelines.
  • Financial Management : Managing payments, reconciliation of rent, utilities, operating expenses, budgeting, spending levels, and variance analysis.
  • Vendor & Landlord Relations : Serving as primary contact for landlord relations, managing vendor contracts, and overseeing local third-party vendors.
  • Maintenance & Security : Handling preventative maintenance, repairs, upgrades, security systems, access control, and emergency systems.
  • Environmental Sustainability : Leading office engagement in sustainability initiatives, annual reporting on greenhouse gas emissions, and maintaining dialogue with local property management.
  • Risk & Assurance : Ensuring compliance with physical security standards, local Health & Safety legislation, managing insurance policies, and maintaining emergency response plans.
  • Service Delivery & Team Management : Managing practice assistants, guest services, office services, facilities, and other operations staff, ensuring compliance with guest services standards.
  • Onboarding & Collaboration : Overseeing onboarding processes for new joiners, collaborating with HR and global mobility teams for staff relocations, and handling mail, files, and waste processes.
  • Event Coordination & Social Responsibility : Organizing office social events, managing budgets for events, coordinating with the global events team, and ensuring a well-run social responsibility program.

The skills and attributes we are looking for

  • 5 Years or more in an office management role, including supervision of staff
  • Fluency in English and Japanese
  • A background in professional services is required
  • A hands-on style that gets things done
  • Experience of delivering consistent high-quality services across a myriad of administrative and operational functions
  • Exceptional organizational skills and the ability to multi-task
  • Successful at managing the dual role of supervising staff and maintaining office operations systems
  • High levels of self-motivation, resourceful and proactive in management approachStrong judgmentProfessional composure in highly pressured situations
  • An ability to manage a very varied workload effectively and efficiently
  • A natural ability to rapidly build good relationships with everyone in the office and with many people across many functions and teams in the wider Firm
