Deputy Head of IT

Job Responsibilities:

• Supporting the Head of IT / Department Operations Support
  • Translate the Head of IT's direction into actionable tasks and project plans
  • Organize departmental issues, progress, risks, and priorities
  • Gather and organize decision-making materials for the Head of IT
• IT Project Promotion / PMO
  • Organize the purpose, scope, requirements, and schedule of IT projects
  • Manage project progress, issues, risks, and dependencies
  • Coordinate between business divisions, the IT department, and external vendors
• Requirements Organization and Business Improvement with Business Divisions
  • Interview business divisions on operational challenges and system requests
  • Organize current workflows, issues, inefficient tasks, and tasks dependent on specific individuals
  • Consider directions for systemization, automation, and operational improvement
• IT Governance, Security, and Internal Controls
  • Improve operations for account management, access rights management, and access control
  • Develop and improve IT procedures for onboarding, transfers, and departures
  • Improve device management, software management, IT asset management, and license management
• Microsoft 365 / Cloud / AI Utilization Promotion
  • Promote use of Microsoft 365, Teams, SharePoint, OneDrive, Exchange, etc.
  • Improve operational efficiency using Power Platform, Copilot, generative AI, RPA, etc.
  • Provide IT utilization support, training, and usage rule development for business divisions
• Vendor Management
  • Coordinate with system development companies, infrastructure operators, SaaS vendors, and consultants
  • Review estimates, proposals, contracts, deliverables, work quality, and costs
  • Handle English-language emails, document review, and meetings as needed

Job Qualification:

• Practical experience in a corporate IT department, in-house systems engineering, IT planning, IT PMO, IT consulting, or as a system integrator (SIer)
• Experience driving IT projects as a PM, PMO, PL, or in an equivalent role
• Experience gathering requirements from business divisions and organizing issues/improvement proposals
• Basic knowledge of any of: system development, infrastructure, cloud, SaaS, or Microsoft 365
• Experience in vendor control, progress management, issue management, estimate review, and deliverable review
• Experience preparing reports and explanatory materials for senior management or department heads
• Strong Japanese communication, coordination, and writing skills
• Experience moving initiatives forward while involving multiple departments and stakeholders
• Ability to organize ambiguous issues into clear points, priorities, and next actions

Preferred Qualification:

• Business knowledge in real estate, rental property management, property management, construction, facilities management, call centers, sales support, accounting/billing, etc.
• Experience using or managing Microsoft 365, Azure, Entra ID, SharePoint, Teams, Power Platform, or Copilot
• Knowledge of security, identity management, device management, IT asset management, or license management
• Experience introducing/operating core systems, CRM, workflow tools, ticketing systems, BI, or data integration
• Knowledge of cloud environments such as AWS or Azure
• Practical experience or strong interest in AI, generative AI, RPA, or business process automation
• Experience with English-language email correspondence, document reading, and meetings with overseas vendors
• Certifications such as ITIL, PMP, Japan's IT Engineer Examination, or security-related credentials
• Experience as a playing manager within an IT department
• Experience developing internal regulations, IT operating rules, application workflows, or procedure manuals
