Office Manager (Part-Time)

As an Office Manager based in Tokyo youll be responsible for ensuring the smooth day-to-day operations of our new Japan office and Customer Experience Center (CEC) creating a professional and welcoming environment for employees customers and this hands-on 60% part-time fully office-based role youll also play a key role in establishing effective site processes and delivering a high-quality customer and visitor experience.

Key responsibilities include:

• Ensure the smooth day-to-day running of the Tokyo office maintaining a professional welcoming and well-organized workplace.
• Manage office supplies facilities and relationships with local suppliers and service providers to ensure reliable and effective site operations.
• Coordinate supplier administration and invoices in collaboration with the Finance team supporting accurate and timely processing.
• Oversee incoming and outgoing shipments mail couriers and deliveries to support business and office requirements.
• Deliver a high-quality visitor experience by welcoming customers and guests coordinating Customer Experience Center visits and ensuring meeting and demonstration spaces are presented to a high standard.
• Support local meetings events and general administrative needs coordinating logistics and responding proactively to changing priorities.
• Establish and continuously improve office and site processes as the new location develops identifying practical ways to enhance efficiency and the employee and visitor experience.

Qualifications :

You bring:

• Previous experience in office management or a similar administrative or coordination role.
• Strong organizational skills and a proactive reliable and hands-on approach.
• A strong service mindset with excellent attention to detail and a commitment to creating a positive workplace and visitor experience.
• Confidence in managing suppliers service providers and multiple priorities in a fast-paced environment.
• Fluent Japanese and good spoken English enabling effective communication in a local and international environment.
• Comfort working collaboratively with colleagues across different functions and cultures.
• Availability to work 60% part-time and fully on-site in our Tokyo office as regular presence is essential to support office operations deliveries and customer visits.
