Responsibilities

You will be part of a growing team providing Facility Management and Office Services. You will have the opportunity to work on portfolios of projects with prestigious Clients, developing your skills within JLL”s career framework . In doing so you will demonstrate a high level of attention to detail, be self-motivated and able to work unsupervised at times showing initiative, whilst inspiring confidence in your interactions with both Internal and External Clients, Stakeholders and Partners.

Role & Responsibilities

Working closely with, and reporting to, the Country Lead, the role involves :

  • Establish and foster strong relationship with key stakeholders in the area
  • Act as the Client’s single point of contact in the region for strategy, implementation and escalation for capital works, blending client’s specific requirements with local business needs.
  • Spearhead Client’s process for business approval in the region, review before formal submission into Client’s systems.
  • Where JLL are the Operation Manager, identify, develop, and gather key resources to lead the Facility Management.
  • Communicate and drive compliance in the capture of data necessary to make full use of JLL and / or Client Reporting and Business Intelligence Systems.
  • Ensure that changes to scope or budget are reported on and managed in compliance with Client procedures.
  • Guide IFM team and ensure they deliver the operation, on time and in budget with the required standards for site operation and data quality.Ensure that the report accurately on the status of the operation.
  • Act as a point of escalation, liaising with Lead Facility Manager and JLL Country leads to resolve matters in relation to project stress
  • Promote continuous quality monitoring and drive improvement on operation and documentation. Ensure best practices are being followed and hold Site Managers accountable for driving quality control at all stages of the operation.
  • Be an advocate for and assures compliance of Health and Safety best practice with JLL and Client policy
  • Optimizes processes that improve business efficiency and delivery.
  • Identifies and implements process improvement opportunities within team and / or functional team.
  • Manages the meetings effectively and drives detailed discussions.
  • Higher levels require ability to put the right people in the room, communicate across an increasingly diverse team / areas and achieve high-level alignment with internal and external stakeholders.
  • Establish good relationship with key business stakeholders at site and understand their expectation for site management.
  • Manage multiple teams. Attracts the right talent, continuously raising the hiring bar. Owns feedback and action for people engagement.
  • Sets and cascades goals for the team and conducts periodic people performance review during 1 : 1.
  • Establishes expectations on leadership behaviour from the team. Effectively coaches direct reports to develop the talent.
  • Oversee and direct construction for assigned projects from conception to completion and assist in the management of the design process on Project.
  • Collaborate with other JLL team (D&C, PDS and Engineering), Japan Amazon GCP (Procurement) and professionals such as architects, designer and estimator before construction commence.
  • Monitor and manage the contractual obligations of vendors and landlords.
  • Collaborate with Transaction team to manage the real estate transactions including acquisition of leasehold in buildings. Develop the strategic portfolio planning collaborating with OP team.
  • Proactively work to resolve deficiencies in project delivery and escalate accordingly to the Country Lead.

CANDIDATE SPECIFICATION : KEY SELECTION CRITERIA

Experience

  • At least 5 years of working experience in Facility Management and 3 years of team management experience
  • At least 3-5 years of relevant working experience in project management or program management
  • Possess good IT skills
  • Proficient in MS Applications such as Excel, Word and PowerPoint
